We are currently recruiting for the position of School Support Co-ordinator. 

Job title:                           School Support Co-ordinator 

Responsible to:            Education Managers

Job purpose

To ensure efficient support in the operation of all administrative processes within the school.  Assist staff by providing accurate, up to date information in various key areas including budgetary and pupil information. Deliver first line enquiry service to all internal and external school contacts.

Job scope

Reports directly to the Education Managers. Post holder assists in effective implementation of all administrative and financial functions within the school e.g. prioritising, multi-tasking, devising new administrative systems to capture data and produce reports, meet deadlines and targets set and controlled by school year/events.

Key Responsibilities/Functions

  • Providing clerical/administration support. 
  • Word processing, photocopying, mail, filing
  • Responsibility for maintaining all information kept within the school in accordance with GDPR requirements.
  • Main front line contact for all external and internal contacts to the school.
  • Security/Health & Safety – working to maintain a safe working environment.
  • Implement and support school Management Information System.
  • Liaise with HR Department for all school staff.
  • Ensure efficient and accurate information is available on all school finances by utilising appropriate systems.
  • Ensuring Education Managers diary is up to date on a day to day basis, making appointments if necessary.
  • Provide administrative support to school e.g. Minutes, reports etc.
  • Assist with production of general school reports e.g. Improvement Plan, Quality & Standards Report etc.
  • Provide admin support for school functions and events e.g. School trips, Prize giving etc.
  • Ensure schedules and timetables are printed and distributed efficiently as required.
  • Any additional administrative duties as deemed necessary.
  • Initiate, implement and maintain records on school MIS systems and produce reports where necessary e.g. Registration and attendance
  • Ensure data is maintained and controlled to comply with SCOTXED returns.
  • Ensure accurate data entry in support of curriculum management function.
  • Effective organisation and quality control of all school and council literature e.g. Parents handbook, parents newsletter etc.
  • Manage reception function and ensure effective flow of communication across all staff, pupils, parent and visiting services e.g. Mail, email, telephone messages etc.
  • Continually revise and update communication methods in accordance with GSC procedures.
  • Ensure adherence to GSC school security procedures e.g. ensure visitors’ protocol is adopted and followed.
  • Assist Education Managers in ensuring compliance with Health & Safety procedures e.g. school trips etc.
  • First line responsibility for reporting and recording IT issues for MIS System and other admin software.
  • Ensure office/support staff have access to adequate training on the tools used within the school.
  • Maintain records and comply with Staff Absence Management policy in liaison with HR Department e.g. Time sheets, returns to Payroll etc.
  • E-procurement – order, receive, check and invoice for all goods coming into the school.
  • Administer school system in line with policy and procedures.
  • Maintain and administer accurate records in relation to school fund.
  • Collection and recording of monies for school trips, events and functions and preparation of money for banking.

General Administration.

Person Specification

Qualifications & Experience:

Relevant qualification in Administration and/or experience in a similar role is desirable.

Professional Qualities:

You will possess excellent administrative/secretarial and communication skills.  You will be IT literate in word and excel and have the ability to work with a number of different disciplines.
